Overview:
Oakom Robotics Academy seeks a detail-oriented and proactive Administrator to ensure smooth daily operations within the academy. This role is essential in supporting our mission of excellence in STEM education with a focus on robotics. The Administrator will oversee critical administrative functions, including the development of operational and functional manuals, managing staff recruitment and development, overseeing student enrollment processes, and maintaining effective systems for efficient academy operations.

Key Responsibilities:
Operational Manual Development:

  • Draft, revise, and maintain comprehensive operational manuals for all critical academy functions.
    Develop additional manuals as needed to cover new policies, procedures, and functions.
    Student Enrollment and Admissions:
  • Manage the student enrollment process, ensuring a streamlined and welcoming experience.
    Conduct background checks, verify previous school records, and ensure accuracy and completeness of all admissions documentation.
    Create and distribute student admissions manuals outlining academy policies, academic expectations, and student services.

Recruitment and Onboarding:
Coordinate recruitment processes, including advertising roles, screening applicants, and facilitating interview logistics.
Oversee onboarding procedures, ensuring that new hires are set up in school systems, introduced to academy policies, and given proper orientation.

Staff Development and Training:

Organize training and development initiatives, working with department heads to assess needs.
Schedule and oversee professional development programs to foster a productive, motivated staff.

Administration Oversight:
Oversee the academy’s daily administrative functions, ensuring smooth workflows and policy compliance.
Manage office resources, technology, and general supplies to support staff and students effectively.

Records and System Management:

Maintain accurate records for students and staff, ensuring secure and compliant storage of all sensitive information. Manage the addition and removal of students and staff from school systems, and ensure records are current and accessible.

Policy Compliance and Communication:

Ensure adherence to all local and national educational policies, health, and safety regulations. Communicate policy updates, procedural changes, and academy news to relevant stakeholders.

Calendar and Event Management:
Coordinate the academic calendar, scheduling key events, meetings, and programs.
Oversee the organization of academy events such as open houses, orientations, graduations, and staff meetings.

Budgeting and Financial Administration:
Work with the finance team to manage the budget for administrative needs.
Process invoices, monitor expenditures, and oversee vendor contracts to ensure cost efficiency.

General Support:
Act as the primary point of contact for administrative inquiries and provide support to the leadership team as needed.
Assist in developing marketing materials, newsletters, and internal communications.

Person Requirements:
Education and Experience:
Bachelor’s degree in Business Administration, Education Management, or related field (required).
Minimum of 3 years of experience in an administrative role, preferably in an educational setting.
Experience in student admissions, staff management, and training is advantageous.

Skills and Competencies:
Excellent organizational, time-management, and multitasking skills.
Strong communication skills, both written and verbal.
Proficiency in school management software, MS Office, and digital tools for documentation and scheduling.
Understanding of educational policies, regulatory compliance, and confidentiality standards.
